Privacy Policy

SportsDJ is a service of Ligobyte LLC. Ligobyte LLC (“SportsDJ,” “we,” “our,” or “us”) operates the SportsDJ application and website (collectively, the “Service”), which enables coaches, team administrators, league operators, and PA announcers to manage in-venue announcements, walk-up music, and related audio cues for youth and amateur sports games.
This Privacy Policy explains what information we collect, how we use it, how we protect it, and the rights available to you and your children. It is written to comply with the Children’s Online Privacy Protection Act (“COPPA”), the California Consumer Privacy Act/California Privacy Rights Act (“CCPA/CPRA”), the Minnesota Consumer Data Privacy Act (“MCDPA”), and other applicable state and international privacy laws.
If you do not agree with this Policy, please do not use the Service.
1. Scope and Who This Applies To
The Service is designed primarily for Team Administrators, Coaches, League Operators, and PA Announcers (“Organizers”) who manage rosters and in-venue audio for teams that may include minors. Players themselves, including minors, do not create SportsDJ accounts. Instead, Organizers enter limited Player Data on behalf of rostered players, subject to the consent requirements described in Section 4.
2. Information We Collect
2.1 Information We Collect From Organizers
When an Organizer creates or uses a SportsDJ account, we collect:
- Account information: name and email address, as supplied by the sign-in provider you choose. SportsDJ accounts are created through Google or Apple sign-in, so we never receive or store a password
- Organization information: team name, league, age group, sport, location
- Role and permissions: coach, team admin, league admin, PA announcer, scorekeeper
- Payment information: if the Organizer purchases a paid subscription, we process payments through a third-party payment processor; we do not store full payment card numbers on our servers
- Communications: messages you send to our support team
2.2 Player Data Entered by Organizers
Organizers may enter the following data about rostered players (“Player Data”):
- First name
- Last name
- Jersey number
- Position
- Pronouns (optional)
- Team affiliation and age group
- Walk-up song, at-bat music, goal celebration audio, or similar audio cue selections
- Optional: pronunciation notes for announcer use
We do not collect or require: player date of birth, home address, school, player photographs, video, biometric data, health information, precise geolocation, or contact information for players. Organizers should not enter any of this information into Player Data fields.
Roster photographs. To save typing, an Organizer may photograph a printed roster or lineup sheet and upload it so that names, jersey numbers and positions can be read off it automatically. We use the image only for that extraction. It is never attached to a player record, and it is deleted as soon as the extraction finishes or fails. We do not keep roster photographs.
2.3 Automatically Collected Information
When you use the Service, we automatically collect:
- Device and log data: IP address, device type, operating system, browser type, app version, crash logs
- Usage data: features used, game sessions, timestamps, aggregated engagement metrics
- Cookies and similar technologies: session cookies for authentication and functional cookies; we do not use third-party advertising cookies or cross-site tracking on the Service
We do not knowingly collect any of the above directly from minors. These signals are collected only from the devices of Organizers using the Service.
3. How We Use Information
We use the information we collect to:
- Provide, maintain, and improve the Service, including generating announcements and audio cues during games
- Authenticate Organizers and secure accounts
- Process subscription payments and manage billing
- Respond to support requests and send Service-related communications
- Detect, prevent, and investigate fraud, abuse, and security incidents
- Comply with legal obligations
We do not:
- Sell or rent personal information to third parties
- Use Player Data for advertising, profiling, or targeted marketing
- Use Player Data to train machine learning or artificial intelligence models that are used outside of providing the Service to the originating team
- Disclose Player Data to data brokers
4. Children's Privacy and Parental Consent
We take the privacy of minors seriously and structure the Service to minimize the collection of children’s personal information.
4.1 No Direct Collection From Children
The Service is not directed to children as its primary audience, and minors do not create SportsDJ accounts. We do not knowingly collect personal information directly from any child under 13.
4.2 Delegated Consent Model
All Player Data is entered into the Service by an Organizer (coach, team admin, or league operator), not by the child. By entering Player Data, the Organizer represents and warrants, under our Terms of Service, that they have either (a) obtained verifiable parental or legal guardian consent for each rostered minor whose data is entered, or (b) are themselves the parent or legal guardian of that minor.
Organizers typically obtain this consent through league or team registration forms that parents sign when enrolling their child.
4.3 Scope of Consent
Parental consent obtained through league or team registration covers the use of the player’s first name, last name, jersey number, position, and selected audio cues for the purposes of:
- Public address announcements during games (e.g., batter introductions, goal calls, lineup reads)
- Display to team staff, scorekeepers, and authorized announcers within the SportsDJ app
- Storage in the team’s private roster within the app
Player Data is not displayed on any public, searchable, or indexable surface within the Service without separate, documented consent. There are no public player profiles, no player-searchable directories, and no export of Player Data to third parties for marketing or recruiting purposes.
4.4 Parental Rights
Parents and legal guardians have the right to:
- Review the Player Data SportsDJ has stored about their child
- Correct inaccurate Player Data
- Delete their child’s Player Data and withdraw consent at any time
- Refuse further collection or use of their child’s personal information
To exercise any of these rights, a parent or guardian may:
- Contact their child’s coach or team administrator, who can remove the player from the roster directly within the app, or
- Email us at privacy@ligobyte.com with the player’s name, team, and league. We will verify the request and act within 30 days.
If a parent withdraws consent, we will delete the child’s Player Data from active systems promptly, and from backups in the ordinary course of backup rotation.
4.5 If We Learn We Have Collected Data Without Consent
If we become aware that Player Data about a minor has been entered without the required parental consent, we will remove the data from the Service. If you believe a child’s data has been entered without consent, please contact privacy@ligobyte.com immediately.
4.6 State-Specific Protections
Certain states extend children’s privacy protections beyond COPPA’s under-13 threshold. For players who reside in the following states, we apply the heightened standards associated with that state’s law, including treating the following as “minors” for consent purposes:
- Oregon: under 16
- Connecticut, Delaware, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey: under 18 (for certain processing activities)
Organizers are responsible for obtaining parental consent consistent with the state where the player resides.
5. How We Share Information
We share information only in the following limited circumstances:
- Within a team: Player Data is visible to the Organizers and authorized announcers on that team
- Service providers: cloud hosting, payment processing, email delivery, and error monitoring vendors who are contractually bound to protect the information and use it only to provide services to us
- Speech synthesis: to produce the spoken announcements the Service plays during a game, a player’s name and any pronunciation notes are sent to our text-to-speech provider
- Roster extraction: if an Organizer uploads a roster photograph (Section 2.2), the image is sent to our extraction provider to read the names and numbers from it, and is deleted afterward
- Legal requirements: when required by law, subpoena, or court order, or to protect the rights, safety, or property of SportsDJ, our users, or the public
- Business transfers: in the event of a merger, acquisition, or sale of assets, subject to continuing privacy protections
We do not share Player Data with advertisers, data brokers, recruiting services, or analytics providers for marketing purposes.
6. Data Retention
We retain Player Data only as long as the player is on an active roster plus a reasonable tail (typically the end of the current season) to support end-of-season features. After that period, or upon parental deletion request, Player Data is deleted from active systems. Backups are rotated and purged on a regular schedule.
Organizer account data is retained as long as the account is active. If you delete your account, Section 6.1 describes what happens and Section 6.2 describes what we keep.
6.1 Deleting Your Account
You can delete your account at any time from the SportsDJ app on iPhone or Android.
Deletion takes effect immediately. Your account is deactivated as soon as you ask. You will not be able to use the Service, and any sharing links you created stop working straight away — including links you have already given to other people.
Removal begins after 30 days. We keep your data for 30 days so that an accidental deletion can be undone. During that period you can sign in and choose to cancel the deletion.
Signing in does not cancel the deletion by itself. You have to choose to cancel. We do this deliberately: if simply signing in undid your request, you could check something, leave, and believe your data was gone when it was not.
After 30 days we remove your profile, your teams and the player information on them, your backups, saved games, announcement templates, custom clips, and your sign-in credentials. At that point your account no longer exists and signing in is no longer possible.
6.2 What We Keep After You Delete Your Account
Some information is not ours alone to erase, and some we are required to keep. We keep the following:
- Financial records. Purchases and credit transactions are our record of business we have done, and we are required to keep them for tax and audit purposes — generally for around seven years. These records remain associated with your account identifier.
- A record of your membership. The fact that an account existed and when it was closed, kept for security purposes and reachable only by our administrators.
- A record of files you shared. If you shared audio with another user, we keep a record of which files you contributed. We are required to maintain this to respond to copyright complaints and to enforce our repeat-infringement policy.
- A record that you accepted the Terms and Privacy Policy, and which version. This is the only proof that the agreement between us was formed, so it has to outlive the account it relates to. It records which version you accepted, when, and which of our apps you accepted it in. It does not include your IP address.
- Audio you uploaded that other people are still using. Audio files are stored once and may be referenced by more than one person’s shared collection. A file you uploaded is removed once no other user’s collection still references it, which may take longer than 30 days.
We do not use anything in this list to build a profile of you, to contact you, or for advertising.
7. Data Security
We maintain a written information security program appropriate to the sensitivity of the data we handle, which includes:
- Encryption of data in transit (TLS) and at rest
- Role-based access controls limiting employee access to Player Data
- Regular security assessments and vulnerability scanning
- Incident response procedures and breach notification processes
- Vendor security review for service providers
No system is perfectly secure, but we work to protect your and your child’s information consistent with industry standards and applicable law.
8. Your Rights Under State and International Law
Depending on where you live, you may have rights to access, correct, delete, port, or restrict the use of personal information we hold about you. You may also have the right to opt out of certain processing and to appeal denials of your requests. To exercise these rights, contact privacy@ligobyte.com.
You can delete your account yourself at any time — see Section 6.1. A deletion request does not override information we are required to keep for legal or security reasons; Section 6.2 lists what that covers and why.
We do not sell personal information or share it for cross-context behavioral advertising, as those terms are defined under the CCPA/CPRA.
9. International Users
The Service is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to, stored, and processed in the U.S. Where required, we rely on appropriate safeguards for international transfers.
10. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will notify Organizers by email or through the Service and update the “Last Updated” date above. Material changes affecting Player Data will not be applied retroactively without appropriate notice and, where required, renewed parental consent.
